CHANGES TO YOUR JOURNEY
Cancellation & Refunds
These rules apply to new bookings confirmed under this policy. Existing bookings retain their agreed terms. An enquiry alone is not a booking. Mandatory rights under applicable law remain unaffected.
Before you pay
Your written proposal must confirm the package price, scheduled departure time, payment schedule, minimum group requirements and any different custom or group booking terms. Supplier cancellation terms and non-refundable amounts must be disclosed and agreed before payment, not introduced afterwards.
Traveller cancellation charges
Cancellation charges are calculated on the confirmed package price for the cancelled traveller or services, not just the deposit. Notice is measured from receipt of your written cancellation to the scheduled departure time in India Standard Time; each day is a complete 24-hour period.
- 30 or more days before departure: 10% cancellation charge.
- 15 to fewer than 30 days before departure: 25% cancellation charge.
- 7 to fewer than 15 days before departure: 50% cancellation charge.
- Fewer than 7 days before departure, cancellation on departure day or a no-show: 100% cancellation charge.
The refund is the amount paid for the cancelled booking minus the applicable cancellation charge, with a minimum refund of zero. Any separately agreed supplier exception must be itemised; the same cost will not be deducted twice.
Requesting a cancellation
Email info@trailopedia.online with your booking reference, traveller name and requested cancellation or change. Keep the sent message and ask for written acknowledgement and an itemised calculation. An acknowledgement delay does not change the receipt time used for your cancellation charge.
Date and traveller changes
One date change requested at least 15 days before departure may be accepted, subject to availability, actual supplier change costs and any price difference. The revised price and terms must be confirmed in writing. Later date changes follow the cancellation rules. A replacement traveller is not accepted until confirmed in writing; permit and supplier restrictions may apply.
No-shows and early departure
Personal early departure and voluntarily unused services are generally non-refundable. No-show charges follow the schedule above. These rules do not exclude remedies for service failures or rights under applicable law.
Cancellation by Trailopedia
If Trailopedia cancels before departure for operational reasons or insufficient participants, you may choose a full refund of the amount paid to Trailopedia for that booking or an available alternative. An alternative or credit is not compulsory. Separately purchased travel is not included in this refund; applicable legal rights remain unaffected.
Weather, access and safety disruptions
Weather, road closures, permit restrictions and other events beyond reasonable control may require a safe alternative, postponement or cancellation. We will explain the change and available options. If you do not accept an offered alternative, unused services will be refunded after deducting documented, unrecoverable costs attributable to your booking. We will provide an itemised calculation and avoid duplicate deductions. These events do not create a blanket waiver of consumer rights.
Refund processing
Eligible refunds are initiated to the original payment method within 7-10 working days after eligibility and the itemised amount are confirmed in writing. Bank or payment-provider settlement may take additional time. Working days exclude weekends and Indian public holidays. If the original payment route cannot accept the refund, we will agree a verified alternative with the payer. Never share an OTP, card PIN or password to receive a refund. If an agreed date passes, follow up with your booking and refund references.
